A release strategy is an approval workflow for purchase requisitions or purchasing documents. The classic configuration uses classification:

  1. Characteristics based on communication structures (CEBAN for requisitions, CEKKO for purchase orders), for example total value, document type or purchasing group.
  2. A class (class type 032) containing these characteristics.
  3. Release groups, release codes (approvers) and release indicators.
  4. Release strategies with prerequisites and classification values.

Documents are released in transactions such as ME29N (individual PO) and ME28 (collective). S/4HANA also offers flexible workflow for purchase order and requisition approval.

Example: PO for 100 units, goods receipt of 90, supplier invoices 100.

  1. With GR-based invoice verification, MIRO proposes 90. If the invoice is entered for 100, a quantity variance arises and the invoice is blocked if it exceeds the tolerance (DQ).
  2. Find out the cause: are 10 units still in transit, were they rejected, or is the goods receipt wrong?
  3. Resolve accordingly: post the remaining goods receipt, ask the supplier for a credit memo for 10 units, or correct the goods receipt if the count was wrong.
  4. Once the variance is resolved, the block can be released automatically or manually in MRBR.
